To Create a Virtual Item Group

Virtual item groups have standard system fields that help define one group from another. As with other objects, certain fields are required and assist the system in locating a specific group when search is used.

  1. Select File > New > Virtual Item Group.

    The Virtual Item Group form opens in the Content pane.

  2. Fill out the form as needed. The following fields are required: Group Number, Group Description, Class, Approval Status
    Tip: If you do not see the Approval Status option when the form opens, click Hide and then Show all.
    SettingDescription
    Group Number A tracking number that uniquely identifies each virtual item group. Use the Auto Number icon to generate the next available number either from the virtual item group mask defined in System Defaults or from a manually entered mask.
    Revision Allows up to eight alphanumeric characters to signify the revision mark of the virtual item group. This field is mandatory for virtual item groups that are subject to change control (Cc).
    Change Controlled This field allows you to specify whether or not the virtual item group is under change control. If the check box is set, the virtual item group is under change control.
    Group Description Text field where the virtual item group is described in detail.
    Class Selecting the Class Lookup icon provides a list of established virtual item group classes. Once selected the system will display both a class code followed by the full class name. Only classes of the types defined in this section of this manual may be used. If the shortcut code is known, this can be typed in instead of using the Class Lookup icon.
    Approval Status Lets you set the approval status for the virtual item group. Select the appropriate status (Planned, Not Approved or Approved) for the document cycle. The icon at the top is red when not approved and green when approved.
    Date Effective This date signifies when the virtual item group is first required or used. When the drop-down icon is used, a calendar displays allowing you to select the appropriate date.
    Date Obsolete This date signifies when the virtual item group will become obsolete. When the drop-down icon is used, a calendar displays allowing you to select the appropriate date. Once marked as obsolete, the virtual item group will be regarded as historic.
    Remarks This field allows additional information to be entered.
    Synopsis This field allows a summary to be entered.
  3. Click the Add icon in the action bar.

    The virtual item group is created. You can now define additional attributes and relationships for the virtual item group. The information entered into the Group Description field displays in tab at the top of the Content pane.
